Tasks are a great way to keep your team up to date and your checklist under control. With Tasks, you can organize your daily work, see what others are working on and collaborate with others to make sure no box goes unchecked.


Workflows are a great way to organize processes in your ministry that involve people moving through multiple steps, such as becoming a member or getting baptized.


Getting Started


Prerequisites:


  • Purchased the A6 People Premium Plan


Tasks


Create a task:


  1. Login to A6 and click checkmark icon at the top of the screen. This icon will be labeled Tasks.
  2. Click Create task button at the top left.
  3. Create a title and description.
  4. Choose an owner of the task. The tasks owner is the person in charge of completing the task. 
  5. Select a priority and a stage of progress.
  6. Choose subscribers. Subscribers are users that will be notified when a task is modified, updated or completed. (NOTE: The creator of a task will always be subscribed to that task by default.)
  7. Link an individual. (Linked individuals are individuals in A6 who are associated with the task. For example, a pastor can link an individual that he/she needs to call at a later date. When the time comes, he/she can quick view the individual’s information right from the task.)
  8. Tag a task. Tags are ways to categorized tasks within a group.
  9. Click Submit. This task will now be shown in the Tasks dashboard.


Add subscribers to a task:


  1. On the Tasks dashboard, search for the owner of the task you want to add subscribers to.
  2. Click on the task.
  3. In the Subscribers field, type in the name of the individual you would like to add to the task.
  4. Click Save changes. The subscriber added will now receive email notifications when this task is updated or completed.


Search


Save a search:


  1. Search for a task that you’re looking for.
  2. Once you’ve found the corresponding task, click Save this search on the left side of the screen. 
  3. Name your saved search.
  4. Click Submit. The saved search will now appear under the Saved searched section on the left side of the screen.


Tags


Manage task tags:


Create a new tag:

  1. Click Manage task tags at the bottom left of the screen.
  2. You will be directed to the Task tags page. To create a new tag, click the New tag button at the top right.
  3. Name the tag, then click Submit.


Edit an existing tag:

  1. Click Manage task tags at the bottom left of the screen.
  2. To edit a tag, click the pencil icon to the right of the tag.
  3. Rename the tag, then click Submit.


Delete a tag:

  1. Click Manage task tags at the bottom left of the screen.
  2. Click the pencil icon to the right of the tag.
  3. Click Delete tag.


Workflows


Create a workflow:

  1. Log in to A6 and click the People icon at the top of the screen, then click Workflows.
  2. Click the New workflow button.
  3. Create a title and description.
  4. Add steps to this workflow by clicking Steps, then Add a step.
  5. Add a name and description for this step.
  6. Assign a task to a person. Set a task priority and an expected task completion time. Click Submit.
  7. Repeat steps 4-6 until you are happy with the workflow you've created.


Add someone to a workflow:

  1. From the Workflows dashboard, click Entries.
  2. Click Add someone to workflow.
  3. Search for and select the individual that you would like to add to this workflow.
